The Buck Institute is the only independent institute in the U.S. devoted solely to research on aging and age-related diseases such as Alzheimer's, Parkinson's, cancer, arthritis, diabetes, and stroke. Our mission is to increase the healthspan, the healthy years of life. Awarded a federal grant to establish interdisciplinary research in a new field called Geroscience, Buck scientists work in a unique, collaborative environment that allows scientists to initiate studies quickly and respond to new opportunities in fields such as stem cell research and regenerative medicine. Our scientists represent a variety of complementary fields, including genetics, epigenetics, biochemistry, molecular biology, bioenergetics, age-associated disease; and technological disciplines such as genomics, proteomics, protein interaction networks and bio-informatics.

The Buck Institute, which was designed by world famous architect I.M. Pei, is located in Novato, California, 25 miles north of the Golden Gate Bridge.

POSITION SUMMARY: Principal Responsibilities will include the coordination of all aspects of NIH progress reports and designated grants applications, as well as administrative research grant activities of the Institute. This includes management of the grants database, working independently on NIH progress reports and other applications, administrative support for all grants functions, coordination of grants materials and budget development.

RESPONSIBILITIES:

  • Responsible for the scheduling, coordination and submission of NIH and other progress reports/renewals, as well as fellowship applications and designated research grants applications and reports as needed.

  • Responsible for the budgetary development of progress reports and designated fellowship and grant applications as needed, which may include subcontract budgetary coordination and renewal.

  • Responsible for coordinating and maintaining the Buck Institute grants database, including data entry, generating reports, preparing information for the database and all other duties required for its maintenance. Will also be responsible for the coordination of new reports and report distribution as needed.

  • In coordination with the Sponsored Programs Manager and post award office, maintain the Grants Department Intranet Page updates, links and postings.

  • Responsible for the maintenance of federal grants submission registration (including grants.gov and ARRA) and maintaining centralized information on electronic submission instructions.

  • Responsible for maintaining the master Other Support document representing all research personnel at the Buck Institute, including the coordination of this information through pre and post award sources.

  • Coordinate and follow up on internal compliance forms as required, including the distribution and inclusion for grants files through coordination with the Laboratory Administrative Assistants, Compliance Office and IACUC Liaison.

  • In conjunction with the Sponsored Programs Manager, maintain the preaward grants calendar as needed.

  • Responsible for the main grants files, including creating new files, maintaining existing files, coordinating expired files and all other administrative duties required for the maintenance of the grants filing system.

  • Assist in a coordinating role with special grants activities, including program project, center, facilities grants, or other special grants as designated.

  • Assist the Sponsored Programs Manager in the pre-award process as needed, including the coordination of materials with laboratory administrative assistants and/or lead AA.

  • Assist in post award process as needed, including budgetary and financial activities.

  • Schedule, calendar and provide support for Grants events and meetings, make arrangements for meeting locations and AV equipment, send out reminders, set up and clear the room, etc. Prepare reports, update and maintain checklists for managing visitors/events to ensure that the Institute’s overall standards are met.

  • Prepare and proof read slides for presentations, reports, documents, etc., including charts, graphs, images and text. Conduct Internet searches, as requested.

  • Provide support for special projects, and other duties as required or assigned.

  • Maintain a high level of confidentiality in all matters.

EDUCATION: BA/BS in related field or equivalent experience.

EXPERIENCE:

  • Knowledge of Microsoft Access databases.

  • Familiarity with PHS grants policies, OMB Circulars, A-110, A-122, and A-133 and related grant management requirements (Preferred).

  • Minimum five years demonstrated expertise in grants coordination and preparation (Preferred).

  • Excellent organizational and communication skills (written and oral).

  • Excellent Excel and Microsoft Access skills required. Experience with word processing, data base management, Power Point, e-mail and internet software. PC/Mac experience.

  • Excellent customer service and interpersonal skills.

  • Must have the ability to produce high quality, error-free work and work in a team environment.
